When it comes to hosting a killer event, engaging guests is vital. For big budget events with lots of guests, you may consider hiring live entertainment to help guide the afternoon or evening along. But how do you choose the right entertainment?

Event entertainment is a big industry. Therefore, you’ll have no shortage of options when searching for someone to perform at your event. You need to be careful that you choose an individual or group that’s going to enhance the gathering, not detract from it.

Here are a few suggestions on how to narrow your options and find the one that works:

1. Think About the Audience

The very first thing you’ll want to do is consider the audience. The demographics of the audience will help you determine which type of entertainers to think about.

There’s a huge difference between a bar mitzvah, a grand opening at an assisted living home, and a charity event. One has lots of teenagers and parents, another has elderly individuals, and the other has big-time donors present. A failure to think about who’s in attendance will hinder your ability to make the right choice.

2. Consider Your Budget

The next practical step is to consider your budget. Depending on how much you have to spend, you may find that your options are seriously limited from the start. If nothing else, you’ll get a feel for what type of entertainment you can reasonably afford.

In addition to the performance fees an entertainer charges, you’ll also need to think about other possible expenses. For example, while most performers have liability insurance, some don’t. If you end up hiring someone that’s uninsured, you’ll want to pick up some extra protection prior to the event. That costs money and should be factored into the budget.

3. Prioritize Versatility

Versatility is one of the greatest characteristics a live entertainer can possess. While most entertainers come into an event with a plan or setlist, it’s important that they’re able to adjust according to the event and the audience.

4. Research Reputation

Once you narrow your options down and come up with one or two possibilities, the next step is to do your due diligence and get more information. Using the internet, social media, and various review websites, you should be able to poke around and find ratings, testimonials, and information on past performances. This will give you a better idea of what an entertainer’s reputation is.

5. Contract Stipulations

Finally, scrutinize the clauses and stipulations in a contract before signing anything with an entertainer. Pay attention to all of the fees and costs, as well as details on how long they’re contractually required to play, what they need from you, when they’ll set up and tear down, etc.

Book Your Entertainment Early

As soon as you know you’re hosting an event and need live entertainment, begin your search for a band or entertainer. Good performers often book their calendar months in advance – especially if they play for weddings and large corporate events. Waiting until a couple of weeks before your event will not only limit your options, but it will also leave you with fewer options.
